Files saved in an individual's "My Drive" belong to that person and can become orphaned or hard to find if they leave the business; Shared Drives are owned by the team or organisation, so access and files remain intact regardless of who joins or leaves. Move any business-critical folders into Shared Drives rather than a personal My Drive.
Coach's tip: when offboarding someone, always check their My Drive for anything important before suspending the account — it's the step most often missed.
